Background / General description:
The World Bank’s Country Office in Riyadh has an opening for a Team Assistant position. A local two year renewable term appointment is envisaged. Note: A potential candidate has been identified and intends to apply for this position. However, this remains a competitive process and interested candidates are encouraged to apply. Note: If the selected candidate is a current Bank Group staff member with a Regular or Open-Ended appointment, s/he will retain his/her Regular or Open-Ended appointment. All others will be offered a 2 year term appointment.
Duties and Accountabilities:
The Team Assistant will report to the Country Director and work closely with the two Senior Operations Officers and other ACS in the office. The Team Assistant is to ensure that the administrative support needs of visiting missions, as well as the Country Office in general, are met. Core duties are listed below: • Draft routine correspondence and proofread materials; • Assist in preparation and logistical planning for events (e.g., missions, conferences and workshops); • Coordinate schedules, monitors changes, and communicate with appropriate staff; • Track assigned task/project steps/timetables, coordinate with relevant staff and provides assistance and/or information on project-related matters. • Maintain distribution lists, telephone/address lists of project/product contacts; • Assist team by translating/drafting a variety of routine documents; • Assist in the overall human resource function in the Country Office; • Offer other general administrative, human resource, and office support functions as necessary
Selection Criteria:
COMPETENCIES • Technology and systems knowledge - Demonstrates advanced knowledge and experience working with Microsoft office applications (Excel, PowerPoint, Word, etc.). Has ability and willingness to maintain up-to-date knowledge and skills as technology. • Project and task management - Exhibits good organizational, problem-solving skills and ability to work competently with minimal supervision. Demonstrates attention to detail and quality. Has ability to manage multiple tasks and complete tasks within agreed schedule. • Institutional policies, processes, and procedures - Demonstrates knowledge of own department’s programs and products, knows key players, understands own role. Displays understanding of WB policies and procedures relevant to the area of assigned responsibilities and is able to apply/ implement them. Some knowledge of basic human resource policies and procedures would be useful. • Versatility and adaptability - Demonstrates flexibility and is receptive to the implementation of new solutions. Is willing to stretch own capability. Demonstrates motivation to avail and adapt oneself to effecting change. • Client Orientation (ACS) - Exhibits positive and professional client service attitude; is able to understand clients’ needs and complete them professionally. • Learning, knowledge sharing and communication (ACS) - Has good knowledge of official unit’s language(s). Able to write clearly, edit and proofread draft communications. Able learn and share knowledge/information across the unit. • Business judgment and analytical decision making (ACS) - Able to manage information and support retention and disposition of information and records. Can search, report, and deliver basic information from various sources and independently respond to basic inquires. • Drive for Results - Able to take personal ownership and accountability to meet deadlines and achieve agreed-upon results and has the personal organization to do so. • Teamwork (Collaboration) and Inclusion - Collaborates with other team members and contributes productively to the team’s work and output, demonstrating respect for different points of view. Other Selection Criteria: • Minimum Education: Bachelor Degree • Minimum experience: 2 years (preferably with an international organization) • Fluency in English and Arabic essential. • Knowledge of World Bank basic system processes preferred; • Knowledge of Saudi Government/business context preferred; • Demonstrated ability to communicate and liaise with Bank staff and respective Government counterparts.
